CONSTITUTION​

  1. The name of the Club shall be WIVELISCOMBE AND DISTRICT CANINE SOCIETY.
  2. The Club shall consist of a Patron, President, Vice Presidents, Chairman, Vice Chairman, General Secretary, Assistant Secretary, Hon.Treasurer, Club Receptionist and a Committee of not more than twelve persons. The Committee shall have the power to co-opt members to fill any casual vacancies that may occur.
  3. The Committee shall have the power to fill any vacancy arising among the officers and shall be empowered to deal with any questions not specifically provided for in the rules.
  4. The Officers acknowledge that during the month of January each year, Maintenance of Title fee will be forwarded to the Kennel Club by the Secretary for continuance of registration and that any amendments to Officers and Committee and any proposed amendments to the rules of the Society shall also be notified.
  5. Committee meetings shall be held as often as deemed necessary: Five including one Officer to form a quorum for the transaction of business.
  6. Should any committee member be absent for more than three consecutive meetings without reasonable excuse, the seat shall be declared vacant and filled at the next committee meeting by co-option.
  7. The annual subscription shall be as recommended by the committee to the members from time to time and as notified to the Kennel Club Ltd, payable to the Hon. Treasurer in January each year. Members who have not paid their subs by the end of January shall have their names removed from the Membership Register. The Club shall make an up to date list of members available for inspection by the Kennel Club Ltd and members of the Canine Society if so requested.
  8. After two weeks attendance at the Training Club – membership is payable.
  9. The Annual General Meeting shall be held at such a time and place as the Committee may appoint, but not later than 30th June each year. At the AGM one Officer and the Committee shall retire but shall be eligible for re-election.  Nominations and any items for the agenda should be duly proposed and seconded in writing by fully paid up members of the Club and with the signed consent of the nominee, should reach the Hon. Secretary no later than twenty eight days prior to the AGM. Not less than two months’ notice of the AGM shall be given to members. A notice will be displayed at Oake village Hall, on the club website, each member with email addresses will receive a notice and other arrangements will be made for members without email addresses.
  10. Members of the committee must serve at least 12 months from the date of election, before they can be considered for the position of Patron, President or Officer of the Club.

General Secretary, Chairman, Hon. Treasurer, in that order shall stand down, one at a time on a rolling three-year term. The General Secretary will stand down in the first instance after 12 months at the AGM and has the option of standing for re-election. In a further 12 months the Chairman will stand down at the AGM and has the option for re-election. In a further 12 months the Hon. Treasurer shall stand down at the AGM and has the option for re-election.

  1. No business shall be transacted at the AGM unless notice thereof appears on the Agenda, with the exception of routine or urgent matters in the opinion of the Chairman of the meeting.
  2. A Special General Meeting shall be called at the time by the Committee, or shall be called by the Hon. Secretary on his/her receiving a requisition duly signed by at least twelve members.
  3. Club Property: All monies belonging to the Club shall be banked in the name of the Club and cheques drawn thereon shall be signed by two of three names – Treasurer, Chairman or Secretary.  In the event of the Club ceasing to exist, or ceases to be a registered Canine Society under these regulations, a final statement of audited accounts with a record of the disposal or the property of the Club shall be forwarded to the Kennel Club within six months and the persons named as Officers and Committee of the Club on the last return furnished to the Kennel Club, will be held responsible by the Kennel Club for the proper winding up of the Canine Society.
  4. Any member who shall be suspended under the Kennel Club Ltd Rule A42.j.(5) and/or any member whose dog(s) is/are disqualified under Kennel Club Rule A42.J.(9) shall ipso facto cease to be a member of the Club and if the conduct of any member shall, in the opinion of the Committee, be injurious to the Club, the Committee may at a meeting, the notice convening which includes as an object, the consideration of the conduct of a member, determined at the General Meeting of the Club be called for, for the purpose of passing a resolution to expel that member. Notice of the Special General Meeting shall be sent to the accused member, giving particulars of the complaint and advising the place, date and hour of the meeting that he or she may attend and offer an explanation.  If at the meeting a resolution to expel is passed by two thirds majority of the members present and voting, his/her name shall forthwith be erased from the list of members and he/she shall thereupon cease for all purposes to be a member of the Club, except that he/she may within two calendar months from the date of such a meeting appeal to the Kennel Club upon and subject to such conditions as the Kennel Club may impose.
  5. If the Club expels any member for discreditable conduct in connection with dogs, Dog Shows, trials or Competitions, the Club must report the matter in writing to the Kennel Club Ltd within seven days and supply any particulars required.
  6. No person whilst an undischarged bankrupt may serve on the committee of or hold any office or appointment within a Kennel Club Registered Society.
  7. The rules of the Club shall not be altered except at a General Meeting and the alterations to the rules passed at the General Meeting shall not be brought into force until the Kennel Club Ltd have been advised and given approval of the alterations.
  8. The Canine Society shall not join any Federation of Societies of Clubs.
  9. The Club recognises the Kennel Club Ltd has the final authority for interpreting the rules and regulations  of the club and in all cases, relative to canine or club matters.
